How to become or renew as a notary in the State of Illinois:

  • Purchase your notary bond, stamp(s) and supplies.
  • Complete your notary public application.
  • Provide a copy of the front and back of your valid driver's license or state ID card.
  • Complete the process with the Office of the County Clerk.
  • Provide a copy of your official notary public certificate.

Eligibility: 
Be 18 years of age or older.
Be able to read and write the English language.
Be a citizen of the United States or an alien lawfully admitted for permanent residence in the United States.
Be a resident of the State of Illinois for at least 30 days, or a non-resident of a state bordering Illinois who has worked or maintained a business in Illinois for 30 days preceding the application.
Not have had a notary commission revoked during the past 10 years.
Not have been convicted of a felony.
Provisions: 
Notary Term
Illinois residents are appointed notaries for a term of 4 years; non-residents are appointed for a 1 year term.
Notary Bond
Required. A bond in the amount of $5,000 is required for new and renewing state and county notaries public.
Errors & Omissions Insurance
Optional. Illinois Notary "Discount" Association Co. strongly recommends that Illinois notaries insure themselves against claims of negligence.
Notary Stamp/Notary Seal
Required. A rubber inked stamp.
Notary Public Recording Journal
Recommended by the Secretary of State and by Illinois Notary "Discount" Bonding Co. to keep a notary journal to record the signer's name, signature, identification, date and other pertinent information that a Illinois notary performs. Effective June 1, 2009, a notary who performs a notarial act involving a document located in Cook County, Illinois, must create a notarial record.

A $10 filing fee is required for new and renewal notary applications.

Non-Residents
Permitted. Persons who are residents of a state bordering Illinois whose place of work or business is within a county in Illinois may apply if they have been in Illinois for 30 days, but only if the laws of their state authorize residents of Illinois to be appointed and commissioned as notaries public in their state. The bordering states of Iowa, Kentucky, Missouri, and Wisconsin offer such reciprocation. Non-residents must also meet the same qualifications as Illinois residents. The appointment and signature must be recorded with the county clerk where the applicant works or maintains a business. Non-resident applications can only be obtained from the Secretary of State’s Office.
Notary Commission Renewal
A notary may apply 60 days before the expiration of the current commission by completing a renewal application form.

Mail the following completed forms directly to us and what happens next:
  • Completed new or renewal notary bond package order form.
  • Completed original resident notary public application or original non-resident notary public application.

When we receive your completed forms in the mail we will submit your forms as well as pay for and submit your $10.00 state filing fee to the Secretary of State's Notary Index Department. 

We will then mail you the following:

  • Notary errors & omissions policy (if ordered.)

When the Secretary of State's Notary Index Department approves your notary public application, a commission will be issued. The commission will be mailed by the Secretary of State's Notary Index Department to the County Clerk's office of the county in which you reside.

What to do once the County Clerk's office receives your commission:

Once the County Clerk's office receives your commission they will mail you a appointment letter. When you receive the appointment letter it can be completed by mail or in person at the County Clerk's office.

  • By Mail: If you choose to mail your appointment letter back to the County Clerk's office you will need to sign the letter where indicated and mail it along with a county filing fee.
  • In Person: If you choose to go in person to the County Clerk's office you will need to sign your appointment letter in front of the County Clerk and pay the county filing fee.

Once this process is complete you will be issued a official notary public certificate by the County Clerk's office. 

Immediately send us a copy of your official notary public certificate you received from the County Clerk's office in order for us to process your official seal stamp. Please do not delay!

Once we receive a copy of your official notary public certificate from you we will immediately order your official seal stamp. Please allow approximately 4 to 6 business days to receive your official seal stamp due to the fact that it must be personalized and manufactured.
